Job Purpose
The Office Assistant will provide administrative and operational support to both the Purchasing and Customer Service departments. This role is key in maintaining the smooth running of day-to-day operations, ensuring accuracy in documentation, and supporting effective communication between departments, suppliers, and customers. The role requires attention to detail, good organisation, and a proactive approach to maintaining high standards of professionalism and efficiency in a busy environment.
Key Responsibilities, Actions and Results
· Support the Purchasing team by creating and processing purchase orders and maintaining supplier records.
· Track deliveries, confirm order statuses, and follow up with suppliers on delays or discrepancies.
· Assist with data entry, filing, and maintaining up-to-date information in ERP and internal systems.
· Support the Customer Service team with order entry, and providing customers with order updates.
· Communicate with customers and suppliers in a professional and timely manner.
· Assist in preparing reports, quotations, and order-related documentation.
· Manage shared inboxes, phone calls, and internal correspondence efficiently.
· Maintain accurate filing systems, spreadsheets, and departmental records.
· Provide general administrative support including scheduling, printing, and data organisation.
· Work collaboratively across teams to ensure operational efficiency and excellent service delivery.
Skills & Experience
· Previous experience in an office administration, purchasing, or customer service role.
· Excellent attention to detail and strong organisational skills.
· Proficient in Microsoft Office (Excel, Word, Outlook).
· Experience with ERP or CRM systems desirable.
· Confident communicator with good written and verbal skills.
· Professional, reliable, and able to manage multiple priorities.
· A positive attitude with a willingness to learn and support others.
· Strong problem-solving ability and proactive approach to work.
Hours of Work
· 2 – 3 (16/24 hours) days a week
· Can be spilt over full days or hours over 5 days (Monday are a requirement full day or reduced hours)
· Office based in Meltham
